Approved Leave from Studies and Non-completion of Studies

Do you want to take a break from your studies or stop studying on your programme or a course? Find out about the differences between "Approved leave from studies" and "Non-completion of studies" and how to apply.

Approved Leave from Studies

If for some reason you want to take a break from your studies within your programme but want to be able to resume your studies after the break – then you need to apply for a Approved Leave from Studies.

Non-completion of Studies

If you wish to terminate your studies early, you should instead submit a notification of Non-completion of Studies. Notification of non-completion of studies means that you will be removed from current lists of participants, address lists and so on, from discontinuation date. An discontinuation note is also entered in the study documentation system Ladok. A notification of interruption is thus a definitive decision to terminate your programme or course.

When can you apply for an Approved Leave from Studies?

Only programme students can be granted a study break at the University of Gävle. You can apply for a study break only when you are registered in Ladok and have started your programme. You can apply for one or a maximum of two semesters at a time. Contact the study counselling via e-mail studentsupport@hig.se if you have questions regarding study breaks.

Application for Approved Leave from Studies

You apply for a study break by filling in the online form “Application for Approve Leave from Studies”. When you apply for a break, it is important that you consider returning to your studies after the break according to your study plan and that you fulfil the entry requirements for the courses to be taken in the semester when you resume your studies. For study planning, please contact the Programme Director at your programme. A decision on the application will be sent to the applicant within 2–3 weeks.

Appeal against a decision

If your application for a study leave has not been granted, you can appeal. The appeal must be in writing. The letter must state the file number and the change requested. The letter should be addressed to the Higher Education Appeals Board (ÖNH) but sent to the Registrar at the University of Gävle (HiG), 801 76 Gävle. It must be received by HiG within three weeks from the day you received the decision.

Completing courses started

You cannot register or re-register for courses within the programme during your study break. However, you have the option of completing courses you have started (known as 'residual' courses) within the programme during your study break. Please contact us at studentsupport@hig.se if you want to complete course(s).

Resuming Your Studies

You have a personal responsibility to register for the relevant programme courses that belong to the semester for which you have been granted a place guarantee to start studying again. Registration is made via Antagning.se no later than 15 April for the autumn semester and 15 October for the spring semester.

If you have already been enrolled on a course and earned credits on it, you should complete and submit a re-registration application to us.

If you do not resume your studies according to your approved study leave, you risk losing your place.

Non-completion of Programme Studies

A notification of non-completion is a definite statement about terminating your study programme. The cancellation of the programme will be registered in Ladok from the discontinuation date.

It is very important that you make sure that all your approved credits are visible in Ladok before you do your non-completion. Programme courses cannot be completed after the discontinuation date. The credits that you have been approved for during your studies are not affected and will remain in Ladok.

You enter programme interruptions yourself in Ladok. When you are logged in, click on the programme you want to interrupt. Select "I do not want to study this programme", a dialogue box will open with information about what the interruption means and you confirm your choice. If the interruption occurs within three weeks of the start of the course, you must also report it to Antagning.se/Universityadmissions.se. If you are studying a programme with a specialisation, please make sure that it is the programme itself that you should interrupt and not the specialisation. Contact the study counselling via e-mail studentsupport@hig.se if you have questions regarding study breaks.

Early non-completion – Programme studies

If you interrupt your studies on the programme within three weeks of the start of the programme (so-called early non-completion), you must enter the interruption on the programme in Ladok and also submit a resubmission via "My pages" on Antagning.se/Universityadmissions.se.

If you have not received your study results for any course in the programme, you can reapply for the programme on Antagning.se/Universityadmissions.se

Non-completion – Freestanding Course(s)

A notification of non-completion on a course is a definitive decision to terminate a course. You report a withdrawal from a course directly in Ladok. If you withdraw from a course within three weeks of the start of the course (so-called Early non-completion), you must also submit a cancellation via "My pages" on Antagning.se/Universityadmissions.se.

If you discontinue your studies on the course before you have had time to obtain a study result, you have the opportunity to reapply for the course via Antagning.se/Universityadmissions.se. If you have already graduated from the course, you will need to submit an application for re-registration, but this is subject to availability.
